Job summary

Rotherham, Doncaster and South Humber NHS Foundation Trust has a range ofadministrative opportunities available across our services and sites in Rotherham, Doncaster and North Lincolnshire. We are looking for enthusiastic individuals who can provide high-quality administrative support and contribute to the effective delivery of our services.

Our administration roles are varied and may include opportunities within clinical services, corporate teams, community services, mental health services and other areas across the Trust. The exact duties, hours, shift pattern and environment will vary depending on the vacancy.

We welcome applications from experienced administrators as well as individuals looking to begin or develop their career within the NHS. Eligible roles will be offered as an apprenticeship opportunity.

You will have the opportunity to state your vacancy preference on your application and at interview. If you are appointable at interview but are not successful, you will be given the option to be added to our recruitment pipeline for any future vacancies that arise.

Main duties of the job
Depending on the position, your responsibilities may include:

Providing efficient and professional administrative support to teams and services.
Managing correspondence, records, databases and other information accurately.
Arranging meetings, appointments and maintaining diaries where required.
Communicating effectively with colleagues, patients, service users and external organisations in a professional and helpful manner.
Processing information and completing administrative tasks within agreed timescales.
Supporting clinical or operational teams with the smooth running of day-to-day services.
Maintaining confidentiality and working in accordance with NHS policies and procedures.
Deal with telephone enquiries in a courteous and efficient manner, recording messages as per agreed systems and escalating as per protocols.
Provide line management within a nominated area including completing supervision and PDRs.

We are looking for people who are organised, reliable and able to prioritise their workload effectively. Good communication and IT skills, attention to detail and the ability to work both independently and as part of a team are important.

What success looks like

Essential criteria

- English and Maths at level 2 or equivalent (GCSE 9-4 or A*- C or functional skills level 2)

- NVQ level 3 in related subject or willingness to undertake a relevant Level 3 Apprenticeship
- IT skills in Microsoft Office Packages
- Working in a busy office environment
- Office procedures i. e. filing, photocopying, message taking
- Understand importance of maintaining confidentiality and security of information
- Good interpersonal skills
- Ability to communicate effectively both verbally and in writing
- Awareness and understanding of the requirement for discretion and confidentiality
